DATA PROTECTION
Privacy Notice
This notice explains what personal information Ask4Ride uses, why we use it and the choices available to customers and operators.
Version 28 ยท 18 August 20261. Who is responsible
Ask4Ride Ltd is responsible for personal information processed to operate the Ask4Ride platform. Our privacy contact is available through the Contact page.
2. Information we process
- Account data: name, telephone, email, addresses and verification information.
- Booking data: pickup/destination, one-way or return selection, requested times, passengers, accessibility requirements, fare and status.
- Operator data: identity, licensing details, vehicle data, insurance/MOT evidence and uploaded documents.
- Location data: operator/vehicle location may be processed in operational driver tools. The v28 customer booking website itself is postcode/address driven and does not request continuous customer GPS location.
- Communications: ride messages, support contacts, complaints, reports and admin responses.
- Security/technical data: login attempts, sessions, IP/security logs and application diagnostics.
- Payment references and status from payment providers. Full card numbers are not stored by Ask4Ride.
3. Why we use information
We use information to create accounts, verify operators, match and administer bookings, provide live journey features, send service communications, prevent fraud, investigate safety issues, handle complaints and legal rights, meet licensing/record-keeping duties, maintain security and administer payments/accounting.
4. Who information is shared with
Information is shared only as needed with the assigned customer/operator, authorised Ask4Ride staff, payment/email/location/hosting providers, professional advisers, insurers and public authorities where required or lawfully requested. The v28 customer booking page uses postcode/address data and Ask4Ride API polling; it does not load Mapbox maps or Ably real-time services in the customer browser. Separate operator-side operational tools may use mapping or real-time providers where configured. We do not sell personal information to advertisers.
5. Location controls
Precise live operator location, where enabled in operator tools, is used only for operational functions such as dispatch and journey management. The v28 customer booking website does not request continuous precise customer location and does not provide customer live-location sharing. Pickup and destination are selected using postcode/address information.
6. Retention
Ask4Ride applies a documented retention schedule. Verification codes are short-lived; current live-location data is kept only as necessary for operations; booking, financial, complaint, safety and licensing records may be kept longer where required for legal, tax, accounting, licensing, insurance or dispute purposes. Data is reviewed and deleted or anonymised when no longer required.
7. Your rights
Depending on the circumstances, you may request access, correction, deletion, restriction, portability or objection. Customers and signed-in operators can use the Privacy & my data tools in their account to download available information, submit data-rights requests and track their status. Some records cannot be deleted immediately where Ask4Ride must retain them for legal or licensing reasons.
8. Security
We use password hashing, session controls, login throttling, protected administrator access, audit logging and restricted document access. No internet service can promise absolute security; suspected incidents are investigated and handled under the incident process.
9. Contact and complaints
Use the Contact page for privacy requests. You may also have the right to complain to the UK Information Commissioner if you are unhappy with how your information is handled.
